Archive an FS engagement

Who does this: FS Reviewer · Senior Accountant · Platform Admin When: The audit cycle has closed and the engagement is done. Result: Engagement transitions to ARCHIVED and becomes read-only. Retention policy applies (default 7 years from year-end).

Before you start

• [ ] Engagement at NOTES_COMPLETE (not NOTES_ERROR; resolve that first).
• [ ] Final DOCX export is on file.
• [ ] If the portal review path was used, the client's decision is recorded in the activity log.
• [ ] You hold MANAGE_FS_ENGAGEMENT.

Steps

1. Open the engagement detail page.
2. Click Archive in the top right; confirm.
3. Status badge moves to ARCHIVED. Edit / regenerate / export controls disappear.

How to know it worked

• Engagement status badge is ARCHIVED.
• Activity log shows fs.engagement.archived.
• Returning to the engagement page renders a read-only view.

Cannot re-open

The FSM has no transition out of ARCHIVED. If the client needs an amendment, create a new engagement for the same period with a -v2 label (e.g. FY2024-v2) and document the change reason in the activity log.
